Start with the condition of each surface, decide what actually needs painting, and agree who can approve the scope and arrange access. A vacant changeover and an occupied home need different practical arrangements.

Decide what needs repainting

List walls, ceilings, doors, trims and any exterior areas separately. Record marks, damaged patches and recurring problems rather than labelling the whole property a simple refresh. Ask whether local touch-ups are suitable or whether a full wall or room is a better boundary for the finish being sought. A quotation should distinguish ordinary preparation from larger repairs.

For older paint or recurring moisture marks, establish the condition before setting a painting-only scope. Repainting is not a substitute for repairing an unresolved leak or assessing a damaged lining. This is background for the conversation, not a diagnosis of any particular property.

Compare finishes by the room's use

A restrained colour scheme can make future maintenance easier to organise, but no colour guarantees a tenant, higher rent or a faster lease. Keep the decision tied to the property's condition, retained finishes and the owner's plan. Do not promise that a washable coating cannot be marked or damaged.

Plan occupied and vacant work differently

For occupied properties, agree the practical access arrangements with the person coordinating the job before booking. Confirm which rooms remain in use, where belongings will go, and how people can move around the work. Work hours, keys, pets, parking and building access can all affect the sequence. For a vacant property, coordinate painting with other trades and cleaning. Confirm which work needs to be finished before painting begins and what is still scheduled afterwards. Identify who can approve the quotation and any variations. If preparation reveals a larger defect, agree the next step and any cost or timing change before that additional work proceeds.

Agree the handover before the first coat

Use the written scope for the final walk-through. Record the rooms completed, any agreed exclusions and product, colour and sheen details useful for maintenance. Ask about care and return-to-use guidance for the actual coatings and conditions; avoid a blanket assumption that every surface is ready for cleaning or heavy use as soon as it feels dry.

Condition photos may help the parties describe the work, but they do not by themselves settle responsibility for damage or a tenancy dispute. Keep private occupant details out of public project photos. No bond-return, rental-income or tenant-selection outcome is promised by a painting job.
